  • We are seeking a teammate who will offer high-trust, behind-the-scenes support to the Rector and the Director of Operations. You will own the pastor’s inbox and calendar, relieve operational administrative burdens, and help keep the office orderly so ministry leaders can focus on the unique work they’re meant to do.

    Responsibilities:

    • Own and triage the Rector’s inbox

    • Manage the Rector’s calendar: schedule meetings, prevent double-booking, prioritize sermon-prep time, and batch non-urgent questions for decision-making

    • Coordinate meeting logistics and communications on behalf of the Rector (invitations, confirmations, agendas, and follow-ups)

    • Relieve the Director of Operations by handling routine administrative tasks (basic finance paperwork, supply orders, event logistics, and tracking) so she can focus on strategic work

    • Maintain general office order: manage reminders (birthdays, anniversaries), keep shared spaces organized, and ensure small tasks don’t slip through the cracks

    • Act proactively to solve problems, set up systems to reduce recurring friction, and anticipate needs before being asked

    • Represent the church professionally and discreetly in written and delegated communications

    • Learn and apply church culture, priorities, and values quickly to make context-sensitive decisions

    Requirements

    • Proven experience in executive or high-trust administrative support with demonstrable inbox and calendar ownership

    • Strong written communication skills and ability to draft email responses that reflect another leader’s voice and tone

    • Excellent organizational skills and attention to detail; track record of preventing scheduling conflicts and managing complex calendars

    • Proactive, self-starting approach; able to take initiative, prioritize independently, and batch decisions for the pastor appropriately

    • High emotional maturity and discretion; proven ability to handle confidential information and maintain professional boundaries

    • Demonstrated ability to learn organizational culture quickly and adapt work practices to fit priorities and rhythms

    • Comfortable working primarily on-site (Monday–Thursday) with some remote flexibility

    • Alignment with the church’s mission and values; able to represent the Rector and church with integrity
